Catering menu

Quality Assurance

 

We are committed to ensuring the highest standards of quality in all aspects of our operations. This includes maintaining food safety protocols, sourcing fresh and high-quality ingredients, consistently delivering exceptional service, and continuously seeking ways to improve our offerings. We hold ourselves accountable to these standards and welcome feedback from our customers to ensure their satisfaction. Inclement Weather

 

In the event of inclement weather posing a risk to our team members, their safety is our primary concern. This may result in the need to cancel or reschedule caterings. While we strive to meet client expectations, the well-being of our team is paramount. If adverse weather affects your catering, our Stone Soup manager will promptly contact you to discuss alternative arrangements.

 

Cancellations/Rescheduling Caterings

 

We recognize that unforeseen circumstances may arise, requiring cancellations or rescheduling. Adequate notice enables us to effectively manage our resources and minimize waste. Therefore, we kindly request that you notify us at least 48 hours in advance of any changes to your catering arrangements. Failure to do so will result in a 50% charge of the catering fee. For cancellations made with less than 24 hours' notice, the full catering fee will apply.

 

Tipping/Gratuity

 

As with many service professionals, tipping is greatly appreciated. A gratuity or pleasant note is a great way to tell the team you appreciate their hard work. For catering orders of 50 or more people, a 15% gratuity will be automatically applied to the final invoice. 

 

Service Charge 

 

For caterings involving setup and/or takedown, a flat rate service charge of $50 will be added to your invoice. If you require staff to remain on site after set up, the rate is $40 per hour, per employee. These costs support our dedicated staff who ensure seamless execution of your event, from preparation to clean-up. Please note that this fee is in addition to the automatic gratuity charge for orders of 50 or more people.

 

Hours of Operation

 

The cafe operates from Monday to Thursday, 8:00 AM to 3:00 PM, and on Friday from 8:00 AM to 1:00 PM. Catering orders are accepted Monday through Friday between 8:00 AM and 4:00 PM. To place a catering order, please complete the online catering request form available on our website. Our team will contact you within 24 hours, excluding weekends, to provide a quote and address any further inquiries. Please note that all catering requests must be submitted via the online form to ensure all necessary information is accurately captured.

 

Payment Options

 

We offer various payment options, including credit card, cheque, and e-transfers. Please note that a $40 fee will be charged for returned cheques due to insufficient funds, and late fees may apply to outstanding balances. Additionally, a 4% convenience fee will be applied to all credit card payments. Invoices will be emailed within one week of the provided service.

For cheque payments, please make the cheque payable to Stone Soup Catering & Café and either drop it off or mail it to: 139 Prince Edward Street, Suite 216, Saint John, NB, E2L 3S3. Please include your invoice number.

Invoicing & Payment Terms

 

Invoices will be sent via email within 1 week of the completed service. If no payment is received within 15 days following the date the invoice was issued, a friendly reminder letter will be sent via email. If there is still no payment received within 5 days from the date the friendly reminder letter was issued, a final notice letter will be sent via email, along with a phone call. If no payment is received within 24hrs of the final notice letter being issued, the credit card on file will be charged. If there is an issue charging the credit card on file (expired, card canceled, etc.), the file will be sent directly to a collections agency.

 

Online Orders

 

Online orders must be submitted within our operating hours, Monday through Friday, from 8:00am to 2:30pm. Online orders are for in store pick-up only. Payment can be made online or in store upon pick-up. Please note that orders for more than 8 people must be submitted as a catering through our online catering request form. 

 

Order Requirements

 

To streamline our catering order process and ensure timely service, we request the following notice periods:

  • For orders serving up to 10 people, please provide a minimum of 24 hours' notice.

  • For orders serving more than 10 people, a minimum of 48 hours' notice is required.

 

All catering orders can be conveniently placed online through our catering request form. Our team will review and respond to all submissions within 24 hours, excluding weekends.Menu selections can be found on our website at www.stonesoupsj.com. For additional assistance, please contact us via email at stonesoupsj@gmail.com. Please note that certain menu items require additional time to prepare. If you have a large catering or are looking for speciality items, we kindly ask that you provide us with as much notice as possible to ensure we can fulfill your catering request.

Dietary Restrictions & Food Allergies

 

We prioritize food safety and adhere to strict guidelines to prevent cross-contamination. When notified of dietary restrictions or allergies, we take necessary precautions to ensure the safety of all guests. Our team is trained in proper food handling procedures, including the separation of ingredients to avoid cross contamination, sanitization of equipment, and labeling of allergens. Please inform us of any food allergies or dietary restrictions so we can provide you with menu selections suitable to your needs. 

 

Deposit

 

For catering orders accommodating 50 people or more, we require a 50% deposit upon booking confirmation. This deposit ensures commitment to the reservation and allows us to allocate resources and prepare accordingly to deliver an exceptional experience for your event. The deposit amount will be directly applied to your final invoice. Please note that cancellations with less than 48 hours notice will forfeit the full deposit amount. For cancellations with less than 24 hours notice, you will be charged the full cost of the catering. 

 

Menu Selection

 

We offer a variety of hot and cold menu options for breakfast, lunch and supper. Our menu options can be served in a variety of catering styles such as bagged lunch, boxed lunch, single serve, family style, or a served buffet. Please indicate your preferred catering style on your catering request form. We also offer a variety of menu options for those with dietary restrictions including gluten free, dairy free, vegan, or vegetarian. Use of Our Equipment

 

For larger catering events featuring coffee or tea service, we provide Cambros to maintain the optimal temperature of your beverages. If our equipment is left on-site for the duration of the event, it is the customer's responsibility to ensure its proper care. All equipment must be returned to the cafe within 24 business hours of the event. If you require our delivery team to pick up the equipment, a delivery charge will apply. In the unfortunate event of damage, loss, or failure to return the equipment, the customer will be liable for the replacement cost.

 

Delivery

 

Delivery is available for all catering orders, with an applicable delivery fee. To ensure a smooth delivery, a contact person must be on-site. We partner with an external company to handle our deliveries. If you require delivery, please indicate this on the catering request form on our website.

 

Increasing or Decreasing Catering Numbers

 

If you need to adjust the number of attendees for your catering order, please provide at least 24 hours' notice. This ensures we have sufficient time to allocate staff and secure the necessary product. Please note that failure to provide sufficient notice may impact our ability to fulfill the complete order.

 

Lunch vs Dinner Portions

 

Kindly be aware that catering orders scheduled for delivery/pick up before 2 pm will automatically receive lunch-sized portions. Orders scheduled for delivery/pick up after 2 pm will be provided with larger dinner-sized portions. Please note that pricing adjustments per portion size will be applied accordingly, and no changes to portion sizes are permitted once the order is placed.
